This Privacy Policy explains how Croom Ventures LLC, doing business as PTWP Services ("we," "us," or "our") collects, uses, and shares information when you use the The Wrestling Planner website, application, and related services (the "Service"). By using the Service, you agree to this Policy. If you do not agree, please do not use the Service.

1. Who We Are

The Service is an informational aggregation and planning resource for parents, guardians, and coaches of youth wrestlers. For privacy questions or requests, contact us at hello@thewrestlingplanner.com.

2. Information We Collect

Information you provide:

• Account information — such as your name and email address when you create an account or subscribe.
• Communications — information you send us when you contact support or respond to messages.
• Preferences and planning inputs — such as your wrestler's age group, division, location/region, and the events or plans you save, which we use to personalize your schedule and recommendations. Please do not provide more personal detail about a minor than is necessary for planning; we do not require a minor's full identity.
• Event submissions — if you submit a tournament or event for listing, we collect the event details you provide (name, dates, venue and ZIP, entry and weigh-in information, registration and flyer links, and any notes) together with your email address. You do not need an account to submit an event. We use your email address to send you a one-time link confirming the submission is genuinely yours, and to contact you about that listing if we have a question before publishing it. Submitter email addresses are held privately for this purpose — they are not shown on the public event listing, published through our public API, or used for marketing.
• Guide requests (email sign-ups) — if you ask us for one of our free guides, we collect your email address, which guide you asked for, optionally the two-letter state you tell us you're in, and the figures you entered into our season-cost calculator (the number of wrestlers, the travel distances, and the total it produced). You do not need an account. We send you a one-time link asking you to confirm the address is yours; if you do not click it, we send you nothing further. Once you confirm, we email you the guide. We also record a one-way, irreversible fingerprint of your IP address (not the address itself) purely to limit how many sign-ups can come from one connection in a day. The calculator figures are numbers only — they never include your name, your wrestler's name, or your address. We do not sell, rent, or share these email addresses, and every email we send you from this list carries a one-click unsubscribe link.

Payment information:

• Subscriptions are processed by our third-party payment processor, Stripe. The processor collects and handles your payment card details directly. We do not collect or store full card numbers. We may receive limited information such as your subscription status, the last four digits of your card, and billing confirmations.

Information collected automatically:

• Usage and device data — such as IP address, browser type, device information, pages viewed, and interactions with the Service, collected through standard logging and, where used, cookies or similar technologies.
• Product usage events — we record certain in-app actions (for example: account creation, building or saving a plan, seeing an upgrade prompt, starting a checkout, completing a purchase, subscribing to a calendar feed, and exporting a plan) together with limited context such as your subscription tier, event counts, and the campaign link that brought you to the Service. For signed-in users these events are associated with your account so we can understand and improve how the Service is used; they never include your wrestlers' names or other free-text content.
• Notification records — when an event on your saved plan changes (for example its date, venue, or entry fee), we keep a record of that change and of any resulting message we sent you: which notification it was, which event it concerned, when it was sent, and whether you have unsubscribed from that category. We use these records to send you the update, to avoid sending you the same alert twice, and to honour your unsubscribe choices. The record of the event's own change history is information about the tournament, not about you.

3. How We Use Information

We use information to:

• provide, operate, personalize, and improve the Service (including building your individualized schedule and plan);
• process subscriptions, payments, and renewals;
• send you transactional and Service-related messages (such as account, billing, and event-update notifications, and — if you opt in or as permitted — digests and reminders);
• respond to your inquiries and provide support;
• maintain security, prevent fraud, and enforce our Terms; and
• comply with legal obligations.

We rely on the following legal bases where applicable: performance of our contract with you, your consent (for example, for marketing communications), our legitimate interests in operating and improving the Service, and compliance with law.

4. Email and Notifications

If you create an account or subscribe, we may send you transactional emails necessary to provide the Service. We may also send planning digests, reminders, and updates; where required by law, these are sent only with your consent, and you can opt out at any time using the unsubscribe link or by contacting hello@thewrestlingplanner.com. We do not sell your email address.

5. How We Share Information

We do not sell your personal information. We share it only as follows:

• Service providers (processors) who help us operate the Service under contract — for example, hosting and database providers (such as Vercel and Supabase), our payment processor (such as Stripe), and our email/notification provider (such as Resend). They may process your information only on our behalf and instructions.
• Legal and safety — when we believe disclosure is required by law, legal process, or to protect the rights, property, or safety of our users, the public, or us.
• Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.

6. Cookies and Analytics

We may use cookies and similar technologies to keep you logged in, remember your preferences, and understand how the Service is used. You can control cookies through your browser settings; disabling some cookies may affect functionality.

We use Plausible Analytics, a privacy-focused, cookieless analytics service, to measure page visits in aggregate. Plausible does not use cookies and does not track you across sites. We also collect first-party product usage events as described in Section 2; these are stored on our own infrastructure and are not shared with advertising networks.

When you request a guide, we record that a sign-up happened and that it was later confirmed, along with which guide it was and which campaign link brought you to us. These records do not contain your email address — the address itself is held separately, as described in Section 2, and is never written into our analytics.

7. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service, and thereafter as necessary to comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your account and associated personal information as described below.

Event submissions. A submission that is never confirmed through the emailed link is deleted automatically within seven days. If you confirm a submission, we keep your email address alongside that event listing as the organizer contact for as long as the listing is useful to families, so we can reach you with questions about it. You can ask us to remove it at any time by contacting hello@thewrestlingplanner.com.

Guide requests. A sign-up whose address is never confirmed through the emailed link is deleted automatically within 30 days. If you confirm, we keep your address until you unsubscribe or ask us to delete it, whichever comes first; unsubscribing stops all email immediately. You can unsubscribe from the link in any guide email, or by emailing hello@thewrestlingplanner.com.

Notification records. The records described in Section 2 — event change history and the log of notifications we sent you — are retained for 24 months and then deleted automatically. Your unsubscribe choices are kept for as long as your account exists, because we need them to keep honouring your preferences.

8. Your Privacy Rights

Depending on where you live, you may have rights to:

• access the personal information we hold about you;
• correct inaccurate information;
• delete your personal information;
• opt out of marketing communications; and
• request a copy (portability) of certain information.

California residents (CCPA/CPRA): You have the right to know what personal information we collect, to request deletion or correction, and to opt out of "sale" or "sharing" of personal information. We do not sell or share your personal information as those terms are defined under California law. We will not discriminate against you for exercising your rights.

Users in the EEA/UK (GDPR): You have the rights listed above and may object to or restrict certain processing and lodge a complaint with your local data protection authority.

9. Children's Privacy

The Service is directed to adults — parents, guardians, and coaches — and is not intended for use by children under 18, who may not create accounts or make purchases. We do not knowingly collect personal information directly from children under 13 (or the applicable age in your jurisdiction). The Service is designed so that adults plan on behalf of youth wrestlers; we ask that you provide only the minimal information about a minor needed for planning (such as age group and division), and not sensitive identifying details. If you believe a child has provided us personal information without parental consent, contact us at hello@thewrestlingplanner.com and we will delete it.

10. Security

We use reasonable administrative, technical, and organizational measures designed to protect your information, including reliance on reputable service providers. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

11. Third-Party Links

The Service links to third-party websites and event sources we do not control. This Policy does not apply to those sites. Review the privacy policies of any third party before providing information to them.

12. International Users

The Service is operated from the United States. If you access it from outside the U.S., you understand your information will be processed in the U.S., where data-protection laws may differ from those in your country.

13. Changes to This Policy

We may update this Policy from time to time. We will revise the "Last updated" date above and, for material changes, provide additional notice where appropriate. Your continued use of the Service after changes take effect constitutes acceptance.
